- 1. What is the DESlock+ Lotus Notes Plugin?
- -------------------------------------------

- The DESlock+ Lotus Notes Plugin allows users of DESlock+ and Lotus Notes to
- easily encrypt/decrypt messages and attachments within the Notes client.
-
- The resulting encrypted messages/attachments may be sent to other Lotus
- Notes users and/or Microsoft Outlook users who have the correct
- encryption key to decrypt the message and vice versa.

- Below are some of the features available with the Lotus Notes Plugin:
- - Encryption for message text and/or attachments with same/different
- encryption keys.
- - Obscuring of message subject.
- - One-click decryption.
- - Automatic message decryption.
- - Integrated DESlock+ Key Transfer technology.

- 3. System Requirements
- ----------------------

- In order to use the DESlock+ Notes Plugin you must have a copy of DESlock+
- installed. This contains the client components necessary to communicate
- with the Lotus Notes software.
-
- Also, a copy of the Lotus Notes Client to send and retrieve email is
- required.
-
- 4. Server Installation
- ----------------------
-
- The following steps outline what is required to install the DESlock+ Lotus
- Notes Plugin on a Lotus Domino R4, R5 or R6 server. Please ensure you have
- the access levels required before continuing and that all databases and
- database templates are backed up, as this procedure involves taking a copy
- of the existing mail template, merging the design elements from the
- supplied template and replacing the users mail database design with the
- prepared template.

- 1. Add the existing mail template (mail45.ntf for R4 for example) to
- your notes workspace.

- 2. Select the added mail database template and create a new copy by
- choosing New Copy from the Database menu. Give the new copy a title
- e.g. 'DLP Mail (R4.5)', a filename e.g. dlpmail45.ntf and ensure
- 'Database Design Only' is selected.

- 3. From the Database Properties, change the template name from
- StdR45Mail for example to DLPR45Mail (see the specifics for
- each release below). This ensures that the template is unique,
- otherwise any changes made to the new template will later be
- replaced by the master copy on the server.

- R4/R5 - Ensure 'Database is a template' is selected and you have
- changed the template name. Also ensure that 'Show in
- database catalog' is selected.

- R6 - Ensure 'Database file is a master template' is selected and
- you have changed the template name. Also ensure that 'List
- in Database Catalog' and 'Show in Open Database dialog' is
- selected.

- 4. Copy the file dlpnotes.ntf from the DESlock+ Installation CD to the
- Domino Server Data directory, typically \notes\data or
- \domino\data.

- 5. Add the dlpnotes.ntf template to your Notes workspace.
-
- 6. Open the design template added in step 4 and find the 'DESlock+
- Configuration' form. Copy the form and paste it into the 'DLP Mail
- (R4.5)' form section. If the message 'The Source Database DLPNotes
- is a Design Template named DLPNotes. After being pasted, would you
- like these forms to be automatically updated when those in
- 'DLPNotes' change?' select NO as we do NOT want to link back to
- the original template. The DLPNotes subform should now be listed.

- 7. Select the 'DESlock+ Configuration...' Agent from the dlpnotes.ntf
- design template. Copy the agent and paste it into the 'DLP Mail
- (R4.5)' Agent section. If the message 'The Source Database DLPNotes
- is a Design Template named DLPNotes. After being pasted, would you
- like these agents to be automatically updated when those in
- 'DLPNotes' change?' select NO.

- 7. Select the 'DlpEncryption' Script Library from the dlpnotes.ntf
- design template. Copy the script library and paste it into the
- 'DLP Mail (R4.5)' script library section. If the message 'The
- Source Database DLPNotes is a Design Template named DLPNotes.
- After being pasted, would you like these script libraries to be
- automatically updated when those in 'DLPNotes' change?' select NO.

- 8. Select the 'DESlock+' Subform from the dlpnotes.ntf design
- template. Copy the Subform and paste it into the 'DLP Mail (R4.5)'
- Subform section. If the message 'The Source Database DLPNotes is a
- Design Template named DLPNotes. After being pasted, would you like
- these subforms to be automatically updated when those in
- 'DLPNotes' change?' select NO.

- 9. Now that the subform has been copied, the Memo and Reply forms in
- the mail template need to contain the newly added subform. Open
- each form in turn and select Insert Subforms from the Create menu
- (R4). Pick the DLPNotes subform and click OK. The subform should
- be inserted. Close the form and repeat for the other form.

- 10. To use the updated template, open a personal mail database, select
- File -> Database -> Replace Design. Choose the new DLP Mail (R4.5)
- template and ensure 'Inherit Future Design Changes' is selected and
- select Replace.

- The mail database design will be replaced with the prepared
- design template, which includes the DESlock+ functionality.
-
- Repeat this step for all mail databases that need to be replaced.

- 5. Using the DESlock+ Notes Plugin
- ----------------------------------

- Once your mail database design has been updated (see section 4 ) you will
- be able to take advantage of DESlock+ encrypted messaging.
-
- To send an encrypted message, create a new Memo, enter a recipient, a
- subject and enter some text in the message body. You can add attachments
- if desired. Click the 'Encrypt And Send' button and DESlock+ will ask
- you which encryption key to encrypt the data with. You can also select
- whether you wish to encrypt the attachments, and if you wish to use the
- same encryption key. The memo will be encrypted and sent.

- To decrypt a message, open it in edit mode and click Decrypt. The
- message body will be decrypted. To decrypt attachments, select 'Detach
- attachments' from the Actions menu. To decrypt a message automatically
- when it is opened, select 'DESlock+ Configuration' from the Actions menu
- and ensure 'Automatically decrypt messages when opening' is turned on.
- You will notice other options that are similar to those available with
- the DESlock+ Microsoft Outlook plugin.

- 1. Auto encrypt attachments - Automatically selects 'Encrypt
- Attachments' when clicking Encrypt or Encrypt Now on a Memo with
- attachments.

- 2. Obscure subject when sending - Replaces the subject text with 'A
- DESlock+ Encrypted Message'. The original subject is placed within
- the encrypted body.

- 3. Auto decrypt message bodies on opening - If this option is selected
- and an encrypted message is opened, the encrypted body is decrypted.
-
- 4. Always use viewer to show messages - When selected, all decrypted
- messages are shown in the DESlock+ message viewer window - not in
- the Notes client.

- 5. Show Warning about formatted messages - When selected, shows the
- rich text formatting warning.

- To request an encryption key from someone else, you can attach your
- public key by clicking 'Request Key' on a new memo. The public key
- packet will be attached as well as a readme.txt file. Simply send this
- to the holder of the encryption key.

- If you receive an encryption key request, you can process it by
- clicking 'Process Key Request'. A new memo will be generated
- with the encryption key you selected and a readme.txt file addressed
- to the requester.

- If you receive a DESlock+ Key Update, you can process this by opening
- the message and selecting 'Process Key Request'. The encryption key
- will then be added to your DESkey if if does not exist.
