  16. 1. What is the DESlock+ Lotus Notes Plugin?

  19. The DESlock+ Lotus Notes Plugin allows users of DESlock+ and Lotus Notes to
  20. easily encrypt/decrypt messages and attachments within the Notes client.
  21.  
  22. The resulting encrypted messages/attachments may be sent to other Lotus 
  23. Notes users and/or Microsoft Outlook users who have the correct 
  24. encryption key to decrypt the message and vice versa.

  29. Below are some of the features available with the Lotus Notes Plugin:
  30.  - Encryption for message text and/or attachments with same/different 
  31.    encryption keys.
  32.  - Obscuring of message subject.
  33.  - One-click decryption.
  34.  - Automatic message decryption.
  35.  - Integrated DESlock+ Key Transfer technology.

  37. 3. System Requirements
  38. ----------------------

  40. In order to use the DESlock+ Notes Plugin you must have a copy of DESlock+ 
  41. installed. This contains the client components necessary to communicate 
  42. with the Lotus Notes software.
  43.  
  44. Also, a copy of the Lotus Notes Client to send and retrieve email is 
  45. required.
  46.  
  47. 4. Server Installation
  48. ----------------------

  50. The following steps outline what is required to install the DESlock+ Lotus
  51. Notes Plugin on a Lotus Domino R4, R5 or R6 server. Please ensure you have
  52. the access levels required before continuing and that all databases and 
  53. database templates are backed up, as this procedure involves taking a copy
  54. of the existing mail template, merging the design elements from the 
  55. supplied template and replacing the users mail database design with the 
  56. prepared template.
  57.  
  58.    1. Add the existing mail template (mail45.ntf for R4 for example) to 
  59.       your notes workspace.
  60.  
  61.    2. Select the added mail database template and create a new copy by 
  62.       choosing New Copy from the Database menu. Give the new copy a title 
  63.       e.g. 'DLP Mail (R4.5)', a filename e.g. dlpmail45.ntf and ensure 
  64.       'Database Design Only' is selected.
  65.  
  66.    3. From the Database Properties, change the template name from 
  67.       StdR45Mail for example to DLPR45Mail  (see the specifics for
  68.       each release below). This ensures that the template is unique, 
  69.       otherwise any changes made to the new template will later be 
  70.       replaced by the master copy on the server.
  71.       
  72.       R4/R5 - Ensure 'Database is a template' is selected and you have
  73.               changed the template name. Also ensure that 'Show in 
  74.               database catalog' is selected.
  75.              
  76.       R6    - Ensure 'Database file is a master template' is selected and
  77.               you have changed the template name.  Also ensure that 'List
  78.               in Database Catalog' and 'Show in Open Database dialog' is 
  79.               selected.

  81.    4. Copy the file dlpnotes.ntf from the DESlock+ Installation CD to the
  82.       Domino Server Data directory, typically \notes\data or 
  83.       \domino\data.
  84.  
  85.    5. Add the dlpnotes.ntf template to your Notes workspace.
  86.  
  87.    6. Open the design template added in step 4 and find the 'DESlock+
  88.       Configuration' form. Copy the form and paste it into the 'DLP Mail 
  89.       (R4.5)' form section. If the message 'The Source Database DLPNotes 
  90.       is a Design Template named DLPNotes. After being pasted, would you 
  91.       like these forms to be automatically updated when those in 
  92.       'DLPNotes' change?' select NO as we do NOT want to link back to 
  93.       the original template. The DLPNotes subform should now be listed. 
  94.     
  95.    7. Select the 'DESlock+ Configuration...' Agent from the dlpnotes.ntf 
  96.       design template. Copy the agent and paste it into the 'DLP Mail 
  97.       (R4.5)' Agent section. If the message 'The Source Database DLPNotes 
  98.       is a Design Template named DLPNotes. After being pasted, would you 
  99.       like these agents to be automatically updated when those in 
  100.       'DLPNotes' change?' select NO.
  101.   
  102.    7. Select the 'DlpEncryption' Script Library from the dlpnotes.ntf 
  103.       design template. Copy the script library and paste it into the 
  104.       'DLP Mail (R4.5)' script library section. If the message 'The 
  105.       Source Database DLPNotes is a Design Template named DLPNotes. 
  106.       After being pasted, would you like these script libraries to be 
  107.       automatically updated when those in 'DLPNotes' change?' select NO.
  108.  
  109.    8. Select the 'DESlock+' Subform from the dlpnotes.ntf design 
  110.       template. Copy the Subform and paste it into the 'DLP Mail (R4.5)' 
  111.       Subform section. If the message 'The Source Database DLPNotes is a 
  112.       Design Template named DLPNotes. After being pasted, would you like 
  113.       these subforms to be automatically updated when those in 
  114.       'DLPNotes' change?' select NO.
  115.         
  116.    9. Now that the subform has been copied, the Memo and Reply forms in 
  117.       the mail template need to contain the newly added subform. Open 
  118.       each form in turn and select Insert Subforms from the Create menu 
  119.       (R4). Pick the DLPNotes subform and click OK. The subform should 
  120.       be inserted.  Close the form and repeat for the other form.

  122.   10. To use the updated template, open a personal mail database, select 
  123.       File -> Database -> Replace Design. Choose the new DLP Mail (R4.5) 
  124.       template and ensure 'Inherit Future Design Changes' is selected and 
  125.       select Replace.
  126.  
  127.       The mail database design will be replaced with the prepared 
  128.       design template, which includes the DESlock+ functionality.
  129.       
  130.       Repeat this step for all mail databases that need to be replaced.

  132. 5. Using the DESlock+ Notes Plugin
  133. ----------------------------------

  135. Once your mail database design has been updated (see section 4 ) you will 
  136. be able to take advantage of DESlock+ encrypted messaging.  
  137.  
  138. To send an encrypted message, create a new Memo, enter a recipient, a 
  139. subject and enter some text in the message body. You can add attachments 
  140. if desired.  Click the 'Encrypt And Send' button and DESlock+ will ask 
  141. you which encryption key to encrypt the data with.  You can also select 
  142. whether you wish to encrypt the attachments, and if you wish to use the 
  143. same encryption key.  The memo will be encrypted and sent.

  145. To decrypt a message, open it in edit mode and click Decrypt.  The 
  146. message body will be decrypted.  To decrypt attachments, select 'Detach 
  147. attachments' from the Actions menu.  To decrypt a message automatically 
  148. when it is opened, select 'DESlock+ Configuration' from the Actions menu 
  149. and ensure 'Automatically decrypt messages when opening' is turned on.  
  150. You will notice other options that are similar to those available with 
  151. the DESlock+ Microsoft Outlook plugin.

  153.   1. Auto encrypt attachments - Automatically selects 'Encrypt 
  154.      Attachments' when clicking Encrypt or Encrypt Now on a Memo with 
  155.      attachments.
  156.  
  157.   2. Obscure subject when sending - Replaces the subject text with 'A 
  158.      DESlock+ Encrypted Message'. The original subject is placed within 
  159.      the encrypted body.
  160.  
  161.   3. Auto decrypt message bodies on opening - If this option is selected 
  162.      and an encrypted message is opened, the encrypted body is decrypted.
  163.  
  164.   4. Always use viewer to show messages - When selected, all decrypted 
  165.      messages are shown in the DESlock+ message viewer window - not in 
  166.      the Notes client.

  168.   5. Show Warning about formatted messages - When selected, shows the 
  169.      rich text formatting warning.
  170.  
  171. To request an encryption key from someone else, you can attach your
  172. public key by clicking 'Request Key' on a new memo.  The public key
  173. packet will be attached as well as a readme.txt file.  Simply send this
  174. to the holder of the encryption key.
  175.  
  176. If you receive an encryption key request, you can process it by 
  177. clicking 'Process Key Request'.  A new memo will be generated
  178. with the encryption key you selected and a readme.txt file addressed
  179. to the requester.

  181. If you receive a DESlock+ Key Update, you can process this by opening
  182. the message and selecting 'Process Key Request'.  The encryption key
  183. will then be added to your DESkey if if does not exist.
